Document Controller
Role Overview:
We ARE seeking an experienced Document Controller to support an Oil & Gas engineering project for a client based in Milan, Italy, but the work can be performed fully remote. You will be responsible for maintaining the project document management system, coordinating document workflows, monitoring document progress, and ensuring documentation complies with project procedures and requirements.
Key Tasks & Responsibilities:
- Set up and maintain the project Document Management System (DMS) in line with project requirements and procedures.
- Perform bulk uploads of document registers into the company document management system.
- Issue engineering documents and manage the associated document workflows and review processes.
- Verify document data and metadata against requirements defined in project procedures.
- Prepare, maintain, and update the project document register.
- Collaborate with the Project Planner to define and monitor document progress parameters.
- Update the document register according to the actual status of documents issued during each reporting period.
- Support the preparation and maintenance of actual and forecast document progress curves.
- Monitor document progress against the project baseline and identify deviations.
- Analyze document progress deviations and support the project team in identifying potential delays or areas requiring attention.
- Coordinate with engineering, planning, and project teams to ensure documents are issued and tracked in accordance with project requirements.
- Proven experience as a Document Controller within Oil & Gas, engineering, EPC, or similar project environments.
- Good understanding of document control processes, engineering documentation, document registers, and workflows.
- Familiarity with EDAM and/or ESSAI document management systems.
- Experience working with document progress tracking and reporting.
- Strong attention to detail and excellent organizational and analytical skills.
- Ability to work independently and effectively coordinate with international project teams in a fully remote environment.
- Strong communication skills and ability to work with engineering, planning, and project stakeholders.
- Fluent in Italian and English, both written and spoken.
Contract: Freelance/Self-Employed
Duration: Until 31.12.2026, with a strong possibility of extension
Working Schedule: Monday–Friday, 8 hours per day
