Document Controller

What are you going to do?
 Within the project, you work independently and are responsible for, among other things:
 
  • Document Management & Numbering: Consistent document numbering, identification, archiving, and traceability of all project documents.
  • Changes & Distribution: Managing document statuses, metadata, review cycles, and timely distribution of documents and comments.
  • Transmittals & Registers: Processing incoming and outgoing transmittals and maintaining the Master Document Register (incl. checks with external parties).
  • Quality & Compliance: Checking documents for quality, integrity, and compliance with applicable guidelines and standards.
  • Reporting & Insight: Making progress and status reports available to project teams and management.
  • Support & Communication: Advising project teams and external parties, raising awareness, and acting as the central point of contact for document control and SharePoint.
  • Meetings & System Administration: Participation in project meetings and managing access and authorizations within SharePoint.
 

What do we ask of you?

We are looking for someone who works meticulously, collaborates well, and thrives on creating structure. To be successful as a Document Controller, you bring the following:
 
  • Minimum MBO-4 working and thinking level.
  • A BIM certificate is a plus, experience as an information manager is a plus.
  • At least 5 years of experience, preferably in Document Management and/or Information Management, in large (technical) projects.
  • Experience with Document Management Systems such as SharePoint, SDx, or similar platforms.
  • Knowledge of document management processes such as version control, archiving, metadata, review cycles, document types, classification, distribution matrices, and the Master Document Register (MDR).
  • Experience with or contributed to the further development of this field. Experience with DMS implementations is a plus.
  • Affinity with software such as MS Office (Word, Excel, Outlook), or you are able to quickly learn new software applications and share this knowledge with colleagues.
  • Dutch and English are required for the role.
